I’m Elena Pastore, founder of Allenatore Coaching. I work with individuals and organizations on leadership, career growth, and communication. However, what I really focus on is who someone needs to become to reach the next level. It’s not just strategy. It’s psychology. It’s identity. It’s helping people move through what’s actually holding them back.
Because of that, my work is entirely built on conversations.
Coaching sessions. Sales calls. Testimonials. Internal handoffs. Every day is full of discussions where the details matter. The exact way someone describes their challenge matters. The patterns across conversations matter. The commitments we make at the end of a call matter.
For a long time, I relied on my memory and chicken-scratch notetaking to hold all of that together.
And as my business grew, that became harder to sustain.
The challenge
Staying present while trying to capture every detail
Before I started using Calendly Notetaker, my system was pretty simple: I would type notes during meetings, try to remember key phrases, and then reconstruct everything afterward.
It worked, but it wasn’t ideal.
Every time I stopped to write something down, I was pulling myself out of the conversation. And in coaching, that matters. You can feel the difference when someone is fully listening versus when they’re half-listening and half-typing.
Then there was everything after the meeting. Writing follow-up emails. Summarizing what we discussed. Pulling out action items. Making sure I didn’t miss anything important. As my business grew and I added more conversations to my day, that workload kept increasing.
There was also a constant mental pressure in the background. Did I capture that correctly? Did I miss something? What exactly did they say about that challenge last week?
I didn’t want to trade presence for documentation. But I also couldn’t afford to lose the details.
The solution
Letting Notetaker handle the details so I can focus on people
I had seen AI notetakers before and honestly didn’t think I needed one. Then I started using them, and very quickly realized how much peace of mind they offer.

Instead of starting from scratch after every meeting, I start with the recap. For my coaching clients, I’ll take the summary and action items, refine them a bit, and send them as a follow-up. It’s usually about 70% there already; I’m just adding nuance and making sure it reflects what I want to emphasize. Pre-drafted follow-ups alone save me a huge amount of time.
What I didn’t expect to love as much as I do is the ability to ask Notetaker questions about the conversation. I use the “Ask Notetaker” feature constantly to go back and say, “what did this client say about this topic? What themes came up? What language did they use?”
I don’t have to scrub through recordings or try to remember when something was said. The answers are right there.
For sales calls, if I want to revisit how someone described their problem or what stood out to them, I can ask Notetaker to pull that instantly.
It even extends into marketing. When I record testimonial conversations with clients, I can ask Notetaker to pull out strong quotes for me.

Before this, my workflow was fragmented. I would schedule in one place, take notes somewhere else, and then build follow-ups in another tool. Everything worked, but nothing was connected.
With Calendly, it all flows together. The meeting gets booked, the conversation is captured, and the follow-up is already started. I don’t need another tool, another login, or another system to manage. It’s just part of how I work.
Results and what’s next
More clarity, less friction, and the ability to scale
The biggest change for me is how I show up in conversations.
I’m not thinking about what I need to write down or worried about missing something. I’m just there, fully focused on the person in front of me.
That’s a better experience for me and my clients.
On the operational side, it saves me about 30 minutes a day just on follow-ups. That adds up quickly. And because I have multiple meetings a day, the time savings compound without me changing how I work.
It’s also made everything more consistent. My follow-ups are clearer, my action items are structured, and my team can use those same outputs to support their work. It creates a level of organization that would be hard to maintain manually.
Some of my clients even go back and watch their earlier sessions to see how much they’ve changed over time. That kind of visibility is powerful, especially in work that’s centered on personal growth.
